First time going..... Questions. questions. questions?????

So, all you seasoned pros out there who don't have your stomach jump into your throat from simply typing out this post......... HELP!
haha, okay so yeah, all nerves and excitement aside, I will be attending the road rally this year and it will be my first time going. I can't wait to meet as many of you as I can as you have all had a huge impact on my life and music since I've come here. I know the first year getting to an event like this is a bit like a nerve wracking whirlwind, but I know if I can get a bit prepared ahead of time I will get a lot more out of the experience. I sent a note to a good friend who has attended the rally asking some of these questions, but I thought I'd post here as well.
Forgive me if some of this has been covered in the forums, but if anyone has the time to help out that would be awesome.
1. What is the best way to have promo material? Business cards, cd's with demos. Should I have different promo material for different genres so that I don't give a supe something that doesn't apply to what he specializes in. Is the rally a place where you want to have something on hand all the time in case an opportunity arises?
2. Accommodations? I've noticed some people on the forums mention that there is a hotel that gives a deal to the attendees. Would this be the best place to book in with? I imagine if this is true then the sooner I book the better? Anyone have the name and/or the contact information for this hotel?
3. Performing? Are there many opportunities to perform during the rally? Is that something you sign up for before you go or while you are there, or are there just gigs that you drop in on and wait your turn?
Well, I could fill up this forum with questions but those are the main ones. I will also be bringing a friend this year if that's possible. He is not a taxi member, but I've collaborated with him before and he is an amazing performer and songwriter. Am I right in assuming that this is okay? Seemed to me that I was free to bring a friend for free even if they are not a taxi member?
Thanks everyone, and I'm really looking forward to the big event. Also cutting it close and hoping everything goes well. My wife is having a baby due in October O.o which is only adding to the adrenaline of this year, so it will be tough leaving so soon after. Anyway, that's more than enough for now.
