Great Topic!
i would love to hear what some other people do.

This is my "getto" way !!!!

i use excel, These are my Column's

Vocal/Instrumental - Title - ReTitle 1 - ReTitle 2 - Genre - Sub Genre - Description - Keywords -
Publisher 1 - Pub 2 - Pub 3ect (so i know which library has it) - Exclusive - Non Exclusive (i check the box) - Tempo - Songwriters - Year i wrote the song - notes (not accepted or returned ect)

with the Description and Keywords i only put that in if i "HAD" to do it for a another library.

like KC i like colors......

White = not in library or waiting to be accepted
Orange = if it is Exclusive
Blue = in library, non exclusive

hope this helps someone!
Steve

I sort our work/tracks in a similar way to Steve (Collum). Except that I have 2 spreadsheets.

No 1. To keep a record of the submissions to Taxi, what happened to them and the feedback. I use colour coding too (for thinking about submitting, submitted but awaiting return/forward, returned. I have another colour for forwarded, but haven't had the chance to use that one yet  )
Each month has a new sheet.
I'm happy to share this VERY basic Excel spreadsheet if anyone fancies it.

No 2. Is one sheet for each track. I really would prefer a DB for this one (no not decibels Eeoo  ) but I don't have Access. So Excel it has to be.
This has ALL details about a track on its page, rather like a database...
It's to record where and what tracks are used for, if and when forwarded etc etc.
I haven't had to use this one yet, as no forwards or placements lol
And as I'm not as advanced as one particular previous poster :ugeek: .... I can't really use it like a DB and sort by library, genre etc

If anyone knows of a free, but easy to use and GOOD database, I'd love to have one please. I believe in preparing, so I'd like it all set up before the forwards and placements - ie I probably have at least a year to set it up :?

I have to say this thread makes my little coach's heart go pitter patter! I love systems. And I love that you ask each other for your systems (rather than trying to re-create the wheel).

The only thing I'd add is that whatever you decide, document it in a separate sheet that is a step by step or a checklist. I recommend doing this for 2 reasons:

1) It will help you maintain your system because when you follow your documentation, you'll do it the same way every time.

2) when you're too big to manage this yourself, you'll be able to delegate it easily!
